
Payroll and pension
Introduction
This schedule sets out the scope of services we will provide.
The purpose of this schedule is to clearly define what is and is not included in the scope of our work.
This schedule should be read in conjunction with our engagement letter and our standard terms of business.
Included work
As part of our agreed services, we will:
- Process payroll based on the information you provide (e.g. gross pay, hours, bonuses, starters/leavers, statutory payments)
- Submit Real Time Information (RTI) returns (e.g. Full Payment Submissions and Employer Payment Summaries) to HMRC
- Provide payslips and payroll summaries for each period
- Calculate PAYE, National Insurance and statutory payments (e.g. SMP, SSP)
- Provide payment summaries to assist you in paying employees and HMRC
- Submit pension contribution data to your workplace pension provider (e.g. via Nest, The People’s Pension or similar)
- Track and apply employee enrolment, postponement, and opt-out details, where notified
- Send reminders of key dates (e.g. payroll approval deadlines, HMRC payment dates)
Please note: this list is not exhaustive. Any work not specifically listed under "Included work" is deemed outside the scope of this engagement unless we have expressly agreed otherwise in writing.
Where additional work is required, we will advise you of the scope, our proposed fee, and obtain your agreement before proceeding.
Excluded work
The following work is outside the scope of this service unless separately agreed in writing:
- HR support or advice on employment law, disciplinary processes, or contracts
- Calculating holiday pay and/or tracking of holiday entitlement
- Advising on employment status (e.g. employee vs contractor)
- Establishing or choosing a pension scheme
- Processing or correcting historical payroll periods
- Handling HMRC enquiries, audits, or penalty disputes
- P11D preparation and benefits-in-kind reporting (can be engaged separately)
- Employment cost forecasting or budgeting
- Assistance with government payroll support schemes unless expressly agreed

Your responsibilities
You agree to:
- Provide accurate and complete payroll data by the agreed deadlines (including changes to pay, hours, starters/leavers, and statutory leave)
- Approve payroll each period before we submit RTI returns
- Maintain all HR records and ensure compliance with employment law
- Operate a compliant workplace pension scheme and notify us of any changes to scheme details
- Make timely payments to employees, HMRC, and the pension provider
- Notify us of any changes to employment contracts, pay frequency, or statutory obligations
Please note: you remain legally responsible for your PAYE obligations as the employer.
Our responsibilities
We agree to:
- Process and submit payroll and pension data based solely on the information you provide
- Apply PAYE and auto-enrolment rules as required under UK legislation
- Maintain confidentiality and secure processing of payroll data
- Inform you of any submission errors or anomalies we detect during the course of our work
